FLSA Status: Non-Exempt

Reports To: RFP Manager

Pay: $31.25 – $36.05/hour

We are seeking an experienced, successful, and engaged Proposal Writer to join our team. This position is expected to work out of our office at 675 Los Esteros Road in San Jose and limited job related travel may be required.


GreenWaste is seeking to fill the position of Proposal Writer to provide support to one or more facilities. As a vital member of our team, you will primarily focus on writing, playing an instrumental role in our business development efforts. Your main responsibility will be crafting responses to Requests for Proposals (RFPs) and grant applications. You will gain proficiency in GreenWaste’s existing collection and processing operations, enabling you to seamlessly integrate this knowledge into our proposals. Alternatively, you’ll have the opportunity to liaise with operations to procure pertinent information for the RFP response. You will collaborate with the RFP Manager, VP of Business Development, and cross-functional teams to help develop compelling proposals that showcase GreenWaste’s capabilities and align with client needs and objectives.

During periods without active RFPs, you will assist the RFP manager in refining proposal processes, update inventory of narrative, ensure compliance documentation is up to date, stay informed about industry trends, and assist on miscellaneous Business Development or Marketing Projects. You will assist the RFP Manager in preparing the organization for future RFPs, enhance its competitiveness, and contribute to long-term business development goals.

Essential Functions and Responsibilities:

  • Write and edit proposal content, ensuring clarity, consistency, and alignment with branding and messaging guidelines.
  • Assist with the preparation of responses to RFPs and grant applications, ensuring adherence to deadlines and requirements.
  • Collaborate with operations, finance, and legal teams, to gather relevant information and insights necessary for proposal development.
  • Conduct thorough research to understand client needs, industry trends, and competitor offerings to tailor proposals effectively.
  • Develop persuasive value propositions, executive summaries, and other proposals. sections to highlight GreenWaste Recovery’s unique strengths and capabilities.
  • Create compelling visual presentations and graphics to enhance proposal content and improve readability.
  • Adhere to proposal timelines, milestones, and deliverables.
  • Review and analyze proposal feedback and outcomes to continuously improve proposal processes and strategies.
  • Help in maintaining a comprehensive library of proposal content, templates, and supporting documentation for future use.

Knowledge, Skills, and Abilities:

  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and familiarity with proposal management software/tools.
  • Adobe Illustrator and InDesign are a plus.


  • Bachelor’s degree
  • Excellent writing, editing, and communication skills, with the ability to translate technical information into clear and compelling proposals.
  • Strong project management skills, with the ability to prioritize tasks, manage multiple deadlines, and work effectively under pressure.
  • Detail-oriented mindset with a commitment to producing high-quality, error-free deliverables.
  • Ability to work collaboratively in a team environment, as well as independently with minimal supervision.
  • Knowledge of waste management, recycling, composting, or related environmental sustainability concepts is a plus.
  • Familiarity with government procurement processes and grant funding mechanisms is a plus.
  • Experience in proposal development is a plus.

Language Skill:

  • Proficiency in English

Physical Demands:

  • Ability to sit or stand at a desk in an office environment for 6-10 hours a day.

Work Environment:

Typical work week is Monday through Friday.
